Administrative Assistant

About the Role:

BANPAY is seeking a reliable and detail-oriented Administrative Assistant to support our operations and administration teams in Houston, Texas . This is a key position that ensures the smooth daily functioning of our office, offering direct support to management and internal departments. Key Responsibilities:

Administrative Support

  • Manage calendars, schedule meetings, and coordinate logistics for managers and team leads
  • Prepare correspondence, reports, and presentations
  • Maintain organized digital and physical filing systems

Office Coordination

  • Order and track office supplies and equipment
  • Support planning and execution of team meetings and company events
  • Act as a liaison with vendors, service providers, and building management

Operational Support

  • Assist with employee onboarding and workspace setup
  • Coordinate travel bookings and expense reports
  • Ensure compliance with internal policies and external administrative standards

Communication

  • Manage general inquiries via phone, email, and in person
  • Draft professional correspondence and maintain up-to-date contact records

Qualifications:

  • Education: Degree in Office Administration, Business Administration, or a related field
  • Experience: 1–3 years in an administrative support role, ideally in a professional services, financial, or tech environment
  • Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace; experience with tools like Asana, Monday.com, or CRM systems is a plus
  • Languages: Fluency English and Spanish or French is a strong asset
