Job Description

Are you an organized, detail-oriented professional with a knack for multitasking? We're looking for a Part-Time Executive Assistant to provide high-level support to leadership and clients in a dynamic remote work environment. This is an exciting opportunity to contribute to business growth while maintaining a flexible schedule.

What You'll Do:

As an Executive Assistant, you'll play a key role in supporting leadership and clients by managing communications, organizing schedules, and handling administrative tasks. Your responsibilities may include:

Providing direct support to business leadership and assisting multiple clients.

Maintaining strong client relationships and improving internal processes for seamless operations.

Managing communication between leadership and employees, coordinating with both internal and external stakeholders.

Organizing and prioritizing work to ensure company and client goals are met efficiently.

Handling scheduling, calendar management, and coordinating travel arrangements.

Performing administrative tasks such as document creation, database management, and general office support.

Maintaining professionalism and confidentiality in all interactions.

Answering client calls, relaying messages, and organizing client communications.

Planning and coordinating virtual events for clients.

Responding to requests within a timely manner (within four business hours).

Balancing multiple priorities and assisting with additional tasks as needed.

What We're Looking For:

The ideal candidate is a proactive, highly organized individual who thrives in a fast-paced environment. Key qualifications include:

At least 4 years of experience in an administrative role supporting senior management.

Background in real estate support and experience working with brokers.

Strong verbal and written communication skills.

Excellent time management and the ability to coordinate multiple projects simultaneously.

Proficiency in Microsoft Office and the ability to quickly learn new tools and systems.

A team player with a flexible, problem-solving mindset.

Ability to handle sensitive information with discretion and confidentiality.

Professional phone presence and the ability to handle urgent requests.

Preferred Qualifications:

Experience developing internal processes and filing systems.

An Associate's degree (or higher) in administration or equivalent experience.

Familiarity with CRM tools such as Active Campaign, Zoho, or Pipedrive.

Schedule & Growth Potential:

Monday to Friday

Part-time role with the potential to grow into full-time.
